Once an item has been brought into Document Manager you can create key
references that allow you to manage and search your documents in a variety of customizable
ways. Access documents linked to DrugPak records using the camera button in the
DrugPak Tool Bar or search Document Manager using customizable keywords and
filters.
One of
the primary uses of Document Manager is to scan chain of custody forms. When
used in conjunction with MRO Management it can be used to insert information
such as COC Received Date, Participant Name, and other essential information.
Document
Manager lightens your workload in other ways as well. For example, your customers
can have access to documents at any time-- even after normal business
hours--through the Internet using DP Live. The latest v5.5 release of DP Live
supports this feature.
Document
Manager can be used for much more than just COC forms. You can store any
document that you might want to access in the future such as invoices, MRO
notes, telephone recordings, notices, correspondence, maps-- anything!

Using Version 6: Automating the DOT MIS Form with DP Informer
The
DOT MIS form is a very important document to many DrugPak users and
their clients. DrugPak makes it easy to create the MIS form
report based on results and participant history. Take a look at
this video to learn more about how the options in this report work.
When
using DP Informer it is possible to automate the creation and delivery
of the MIS form. Here are a few guidelines for setting up the MIS
form as a Contact-Report in DrugPak.
- If
you leave the "Report Frequency" as "no limit" then you can choose to
generate the MIS form at any time that you need to. (e.g. quarterly,
etc)
- If
you turn on all of the check boxes in "DOT Administrations" then, if a
result or participant was accidentally entered with inappropriate
information, then the "wrong" report will be produced (e.g. an FAA
report for a company that only has FMCSA). When you generate the
report you could review the reports before delivery (by closing the DP
Transmission Center) or encourage your clients to review the reports
and get back to you if they find errors.
- The "Company Scope" option should normally be set to "Single Company" and a company must be specified.
- In
the "Date Range" option use the check box at the top for "Use global
report default setting". By using this option you can then
control all of the reports for all of the contacts by changing the
report date in one place. Before you go to generate the MIS form
report, go to the Reports menu, Global Report Defaults, Analysis, DOT
MIS Form, and select your reporting date (e.g. 1/1/08 through
12/31/08). Next year you can simply change that one date and then
generate.
